Digital Forms Platform

Forms that do more than collect answers, conditional logic, photos, signatures, autosave, offline capture and a workflow that starts the moment someone hits submit.

Task triggeredJust now

Superstack builds the digital forms platform NZ businesses use when a form is the start of a job, not the end. Your site inspection or incident report asks only the questions that apply, takes photos and a signature, works offline, and on submit produces the PDF, files the data and starts the next task.

The problem

the form is done and nothing happens

  • Our incident form is a PDF the supervisor prints, fills in by hand and photographs. Then someone types it up.
  • We tried Google Forms. It can't skip questions that don't apply, photos are a mess, and closing it halfway means starting again.
  • Every form gets typed into the CRM, and the chargeable ones into your accounting software as well. Same details, three times.
  • A submitted form sits in an inbox. Nobody is told, nothing is created, nobody follows up until someone asks.
  • We changed the hazard checklist in April. Half the crews still use last year's version saved on their phones.

What Superstack builds

a digital forms platform that starts the work

Generic form tools stop at a spreadsheet row. Here the form is the front end of a process: the answers decide the questions, the photos and signature are evidence, and the submission fires off the PDF, the record and the task.

Example workflow

A technician opens the call-out form on site. It shows the questions for that job type and hides the rest. She photographs the fault and the fix, the customer signs, and she taps submit in the van. The platform builds the PDF, emails it to the customer, creates the job record, raises the draft invoice in your accounting software and puts a follow-up task on the office queue. The office checks the invoice before it goes.

Integrations

Your accounting software receives draft invoices built from form answers and sends back paid status. Your CRM gets new contacts and activity from intake forms. Google Workspace and Microsoft 365 file the PDFs in the folder you name. Twilio sends SMS links to forms. Job management receives the completed job sheet against the right job.

Any system with an API connects. Click a logo to visit them.

Add AI when it actually makes sense

AI is optional. Good logic and a solid workflow do most of the work, so we add AI only where it removes typing or checking a person does today. See how we use AI and business process automation.

Web app, mobile app and customer portal

Web app

The office builds forms, sets the logic and the workflow, reviews submissions and watches the analytics in the web app. Managers approve from here, and admin staff search past submissions by customer, site or date.

Mobile app

Field staff live in the mobile forms app: today's forms for today's jobs, photos from the camera, signatures on the screen, and everything working offline until the signal returns. A new form version arrives without anyone updating anything.

Customer portal

Customers and clients fill in their own forms through a portal: a tenant's maintenance request, a sign-off on completed work. All three share one database, so a tenant's request is an office job the moment it is sent.

FAQ

Jotform and Typeform are good at collecting answers, and for a survey they are the right tool. They stop at the submission. This platform starts there: the answers decide what happens next, the PDF comes out in your layout, the data lands in your CRM or your accounting software, and the task is created, with no inbox involved. An online form builder for business is half the job. The workflow is the rest.

Yes. The mobile forms app keeps the forms and the logic on the phone, so a full inspection with photos and a signature happens with no signal. Everything saves locally as it is entered and uploads in the background when the phone reconnects, and the workflow fires then. A plant room or a back-country property is no different from the office.

As complex as your process. A question can show, hide or require other questions, sections or a second form. Logic can look at several answers together, at the site, or at data from your other systems, so a checklist changes with the client's plan. We test it against real cases and keep it readable, so your admin team can change it later.

Yes. You give us the layout, or we design one, and every submission renders into it: your logo, your headings, photos where they belong and the signature at the end. Each form has its own layout, and one form can produce two documents, such as a customer copy without internal notes. The PDF files itself against the customer or job.

You do. Submissions, photos and PDFs live in your own database, with no per-submission fee and no export limit. Custom digital forms are a build we deliver to you, not a subscription that meters your own records. Part of the handover is the export routine and the documentation, so another developer can pick it up if you ever need one to.

Your accounting software for invoices and bills, your CRM for contacts and activity, job management for job sheets, Google Drive or SharePoint for the PDFs, email and SMS for people, and a spreadsheet when a report needs one. Each destination is a field mapping, set once. Anything with an API can be added, and a submission can go to several places.
