Checklist App Development

Repeatable operational checklists done on a phone: scheduled, proven with photos, flagged when something is wrong.

ReportJust now

Superstack offers checklist app development for businesses run on routines: opening the cafe, closing the gym, checking the fridges. Staff work through each checklist on a phone, attach photo proof and flag what is wrong. Managers see completion across every site without driving to any of them.

The problem

a laminated sheet proves nothing

  • Our checklists are laminated sheets by the back door. Nobody fills them in, and nobody checks.
  • A tick on paper proves someone held a pen, not that anyone checked the fridge.
  • Steps get skipped when it is busy, and the next shift finds out the hard way.
  • We run several sites and cannot see which ones finished today's checks without ringing around.
  • A checklist finds a broken tap. Someone writes it in the margin and nobody follows up.

What Superstack builds

checklist app development for the daily routine

Operational checklist software has one job: prove the routine happened. We take your opening, closing, cleaning and safety checklists, put them on a phone with the proof each step needs, and give managers one screen for every site.

Example workflow

The closing checklist falls due and the app reminds whoever is rostered on. They work through it, photographing the steps that need proof. A blocked fire exit fails, so they flag it with a photo and the manager hears at once. The manager assigns the fix, someone clears the exit and closes the action, and the morning report shows the site closed properly.

Integrations

Your staff app supplies logins and rosters, so each list reaches the person on shift. Job management and work order systems receive flags as jobs and send back the fix. Google Workspace and Microsoft 365 handle email, and Twilio sends SMS nudges when a list runs late.

Any system with an API connects. Click a logo to visit them.

Add AI when it actually makes sense

AI is optional. Checklists, photos, flags and reports work without it. We add it only where it saves a manager's time. See how we use AI and business process automation.

Web app, mobile app and customer portal

Web app

Owners and managers build templates, set schedules per site, watch the dashboard and pull reports in the web app. Head office changes a step once and every site gets it.

Mobile app

Staff use the mobile app on their phones or a shared site tablet: today's lists, the camera, the flag button and nothing else to learn. It works without signal.

Customer portal

For cleaning and facilities companies, clients see the completed checklists and photos for their site, so whether last night's clean happened is never in doubt. All three share one database.

FAQ

A checklist proves a routine happened: the same steps every shift, with a tick, a photo or a flag per step. A form captures data once, like an incident report. An inspection scores a site against a standard and produces a report. Many businesses need all three, but the checklist runs every day.

Yes. A cleaner in a basement or a cafe with flaky wifi keeps working. The day's checklists load onto the phone, ticks and photos save locally step by step, and everything uploads when the phone reconnects. Timestamps come from when the step was done, not when it synced, so the record stays honest.

Yes. Multi-site is the normal setup. Each site has its own schedule, staff and dashboard row, while head office keeps one set of templates. A regional manager sees every site on one screen and drills into any one. Change a step in the template and every site runs the new version next time.

Yes. Any step can carry a link, a photo or a short video showing how it is done, so a new starter on the closing shift taps the step and sees how to clean the coffee machine. The SOP lives in one place, and updating it updates every checklist that points to it.

Make it easier than the sheet. The list is on the phone they carry, it shows only what is due now, and a tick takes one tap. Reminders land before the list is late, not after. Streaks give sites something to be proud of, and managers see gaps the same day, which changes behaviour.

It depends on the build option. Superstack Start customises an existing checklist module and is the quickest route. Superstack Custom adds work orders, a staff app or compliance records. Superstack Build is fully bespoke. Hosting and support are ongoing costs. We scope your checklists and sites in a first conversation and give you a clear proposal.
