Asset Management Software

Equipment and asset lifecycle tracking: who has it, where it is, when it was serviced and what it costs to keep.

Register updatedJust now

Superstack builds asset management software NZ contractors, facilities teams and hire businesses use to follow every tool, vehicle and machine from purchase to disposal. You get a register you can trust, maintenance done on time, current certificates and a true cost per asset before you replace one.

The problem

a register nobody trusts

  • Our asset register is a spreadsheet nobody trusts. It was right the day someone typed it, never since.
  • Equipment goes missing between sites. A generator leaves one job and never reaches the next.
  • Maintenance gets missed until something breaks, usually on a Friday, on a job that cannot wait.
  • Certificates expire without anyone noticing. We find out when a site manager asks at the gate.
  • There is no cost per asset, so replacement decisions are guesses made in the workshop.

What Superstack builds

asset management software from purchase to disposal

The register is only the start. We build asset register software that follows each item through its life: tagged, assigned to a site, serviced on schedule, certified, and disposed of with its full cost known.

Example workflow

A new asset gets a QR tag on arrival and the storeman assigns it to a site or person. The system raises each inspection as it falls due. The inspector completes it on a phone and uploads the certificate, and the next service drops into the schedule. At end of life a manager marks the asset disposed, and the register and your accounting software update together.

Integrations

Your accounting software fixed assets or MYOB receives purchases and disposals and returns book values. Work order and inspection systems write completed jobs and results to the asset's history. Google Maps shows where each asset was last scanned, and supplier portals feed purchase and warranty details.

Any system with an API connects. Click a logo to visit them.

Add AI when it actually makes sense

AI is optional. The register, the schedules and the alerts run without it. We add it only where it spares someone the paperwork. See how we use AI and business process automation.

Web app, mobile app and customer portal

Web app

Fleet and workshop managers run the register, the service calendar and the reports, and approve disposals. The safety officer sees every certificate and expiry in one list.

Mobile app

Staff on site scan a QR tag, check gear in and out, log a fault with a photo and complete an inspection: equipment tracking software in the pocket of whoever holds the gear.

Customer portal

Hire customers and facilities clients see the assets on their site or on hire, with certificates and service history. All three share one database, so an uploaded certificate reaches the customer at once.

FAQ

Each asset carries a weatherproof QR label. Anyone with the mobile app scans it and the asset's record opens: what it is, who holds it, when it was last serviced and whether its certificate is current. From that screen they check it out, move it to a site or report a fault.

Yes. Vehicles and plant are assets with extra fields: registration and warrant dates, hour meter or odometer readings, and service intervals in hours or kilometres rather than months. A digger, a ute and a cordless drill sit in the same register with different rules, and the reports roll up into one list.

Yes. Each asset holds its inspection or test cycle, the last result and the certificate file. Test tags, lifting gear and harnesses follow the same pattern. Alerts go out before the expiry, the safety officer sees every due item on one list, and the certificate is a scan away when a site asks.

Yes. When you add an asset with a purchase price and date, the system creates it in your accounting software fixed asset register and records the disposal there. Depreciation stays in your accounting software, where your accountant runs it, and the book value flows into the asset's record. The workshop and accounts work from one list.

Yes. The mobile app is where most day-to-day work happens: scanning tags, checking gear in and out, logging faults with a photo, completing inspections and finding the certificate a site manager wants. It works on iPhone and Android, keeps working on a rural site without signal, and syncs when the phone reconnects.

Yes. A fault logged against an asset raises a work order in your existing system, and the completed job writes back to the asset's history with the cost. If you use Superstack's own work order management, the two are one system. Either way the mechanic sees the asset's past repairs before starting.
