Member Portal Development

Membership accounts, renewals, payments, bookings and resources, a portal that runs itself so your committee or team does not have to.

Report to the committeeJust now

This is the member portal development NZ clubs, associations and gyms turn to when renewals, payments and bookings eat the committee's evenings. Superstack builds a portal where members join, pay, renew and book themselves, and the treasurer sees it all reconciled in your accounting software without a spreadsheet.

The problem

the committee is the software

  • Every year someone spends their evenings emailing members to renew, then chasing the ones who didn't.
  • Members can't update their own address or card, so they email the secretary, who edits the spreadsheet.
  • Event RSVPs and court bookings arrive by email and text, and someone tallies them the night before.
  • Our best resources are buried in old newsletters, so new members never see them.
  • The treasurer spends hours matching bank deposits to members and still can't say who has paid.

What Superstack builds

member portal development that renews itself

Off-the-shelf membership portal software makes your club fit its tiers and fees. We build around your rules: who joins, what each tier gets, when renewals fall due and what the committee sees.

Example workflow

A new member joins on the website, picks a tier and pays. The portal creates the account, the receipt and your accounting software entry, and opens the resource library. They book the season launch. Months later the renewal reminder goes out, and on the due date the portal charges the card on file. The committee reads the report and sets the fees. Nobody chases.

Integrations

Stripe takes card payments and GoCardless takes direct debits, each payment tied to a member and a period. Your accounting software receives invoices and payments. Mailchimp gets your member segments for newsletters. Google Workspace and Microsoft 365 handle committee sign-in, and Twilio sends the SMS reminders.

Any system with an API connects. Click a logo to visit them.

Add AI when it actually makes sense

AI is optional. Renewals, payments and bookings run on rules without it, and we add AI only where it saves a volunteer time. See how we use AI and business process automation.

Web app, mobile app and customer portal

Web app

The committee run the portal from a browser: approving applications, setting tiers and fees, publishing events and pulling the monthly report. Roles keep the treasurer's view separate from the coach's.

Mobile app

Members who want an app get one: a digital membership card, push reminders for bookings and renewals, and the same login as the portal, which suits gyms and clubs with daily check-ins.

Member portal

The member login website is where most members live: join, renew, pay, book and read resources. All three share one database, so a card updated in the app pays the next renewal.

FAQ

Off-the-shelf platforms work until your rules stop matching theirs: a family tier they cannot model, a grading system, a regional fee. Then you pay per member to work around it. We build the rules you have, charge for the build rather than per member, and connect it to your accounting software and Stripe you already use.

Yes. Stripe handles card payments and GoCardless handles direct debits, and members choose at sign-up. Recurring memberships renew on the stored method, with retries and an email when a payment fails. One-off purchases like event tickets go through the same checkout. Every payment carries the member, period and fee, so reconciliation is done.

Yes, because the core is the same: people, tiers, money and dates. A club membership portal needs season registrations and family memberships. A gym needs monthly debits, class bookings and check-in. An association needs corporate tiers, a resource library and a directory. We build the modules you use and leave out the rest.

Yes. The portal works on any phone, and we can add an app that shares its database: a digital membership card, push notifications for bookings and renewals, and faster check-in at the door. Start with the portal and add the app once members ask for it. Our customer app development page has more.

Member and payment details are the most sensitive data a club holds. Card and bank details never touch our database: Stripe and GoCardless hold them. Everything else sits in an encrypted database with access by role and a log of who viewed what. Members can see and correct their own record.

Yes. Bring the spreadsheet or the old platform's export. We match the columns to your new tiers, remove duplicates and bad emails, and load a trial copy for the committee to check. Joining dates and history come too. Stored cards come across where the old provider allows it, otherwise members enter a card once at renewal.
