Booking System Development

Online booking built around your services, staff, resources and rules, deposits, reminders, waitlists and everything that happens after the booking.

One-tap rebookJust now

Superstack does booking system development NZ businesses turn to when an off-the-shelf tool cannot handle their rules. If your bookings depend on which staff member, room, vehicle or group size is involved, we build a custom booking system around those rules, take the deposit, send the reminders, fill gaps from the waitlist and hand the money to your accounting software. Your rules run the calendar.

The problem

rules the booking tool cannot handle

  • Bookings come in by phone, text, DM and email, someone writes them in the diary, and two people turn up for the same slot.
  • A no-show costs us the whole slot and the staff member's time, and we have no deposit to fall back on.
  • Our tool cannot handle a booking that needs a trainer, a room and a vehicle, or a group price that changes with size.
  • We chase deposits by text and chase the balance on the day, and the owner does both from her own phone.
  • Customers who want to move or cancel have to ring during office hours, so they either don't bother or don't show.

What Superstack builds

booking system development around your rules

We start with the rules your current tool breaks on: who can deliver each service, what each one needs, how long it takes, what the deposit is and when a booking can change. Those rules become the engine. Calendar, customer flow, payments and reminders sit on top, so every booking that lands is one you can deliver.

Example workflow

A mum books a kids' party from her phone, picks the room and the host, and pays the deposit through Stripe. The confirmation text arrives at once. The day before, the reminder goes out with what to bring. On the day she scans the QR code to check in, and the system charges the balance. After the party, a review request goes out, and a link to rebook the slot next year is one tap. The host ran the party and the front desk answered one question by text. The system did every other step.

Integrations

Stripe takes payments and deposits, GoCardless takes direct debits, and both settle into your accounting software against the customer. Google Calendar and Microsoft Outlook stay in two-way sync, so a staff member's appointments block their availability and bookings appear there. Twilio sends the SMS, Mailchimp receives new customers, your CRM receives the booking history, and the booking flow embeds in your website.

Add AI when it actually makes sense

AI is optional. A booking system that enforces your rules, takes deposits and sends reminders does the heavy lifting. We add AI where it takes work off the front desk. Read about how we use AI and business process automation.

Web app, mobile app and customer portal

Web app

Reception and managers run the day from the web app: the master calendar across every staff member and room, walk-ins and phone bookings typed in, payments taken at the counter, services and rules edited without a developer, and the Monday reports.

Mobile app

Trainers, therapists, guides and cleaners see their own day on their phone: who is coming, what they booked, last time's notes and the address. They check people in, take a balance, and get a push notification when a booking changes.

Customer portal

Customers log in to see upcoming bookings, move or cancel within your rules, pay a balance and rebook a favourite in one tap. Families manage every child from one account. All three share one database, so a counter change shows on the customer's phone at once.

FAQ

Those tools, like most online booking software NZ businesses start with, are good at one person, one slot, and fine if that is your business. They struggle when a booking needs a room and a staff member, when group pricing changes with size, or when the deposit rule differs by service. A booking system built around those rules connects to what you run, and you own it rather than renting it per user.

Yes. Each service has its own payment rule: a fixed or percentage deposit, full payment up front, or pay on the day. Stripe takes cards and GoCardless takes direct debits, so a membership runs without chasing. The system charges the balance at check-in or after the service and records every payment in your accounting software against the customer. Refunds and cancellation fees follow the policy you set.

With rules you set. Choose a cut-off after which a cancellation keeps the deposit or incurs a fee. Reminders with a one-tap confirm arrive before the cut-off, so people who cannot make it say so while the slot can be resold, and a freed slot goes to the waitlist by SMS. The front desk marks a no-show, the system charges the fee, and the record shows the pattern.

Yes. The booking flow drops into your current site as an embedded widget or a button that opens it, styled to match. It also works as a standalone booking page you can link from social media, your Google listing or a QR code on the counter. If you are rebuilding the site anyway, we handle booking website development in the same project so both are designed together.

Yes. Each location has its own services, staff, rooms, opening hours and calendar, and customers pick a location first. Head office sees every location in one view, and a manager sees only theirs. Staff who work across sites are rostered per site, so nobody is double-booked between them. Payments settle to the right your accounting software organisation per location, and reports compare locations side by side.

Yes. Staff see their own day on the mobile app and check customers in, take a balance and move a booking within the rules. Managers see the whole calendar, reassign a booking when someone calls in sick, and the affected customers are told. Push notifications carry every change, so a mobile cleaner never drives to a cancelled job. A casual instructor sees only their own classes.

Yes, and that is where the phone calls go. From the confirmation link or their account, customers see upcoming bookings, move or cancel within your rules, pay a balance and rebook in one tap. A parent manages every child's classes from one login. Anything outside the rules shows them the policy and offers to contact you, so the front desk only hears about the exceptions.

Yes, both ways. Bookings appear in each staff member's Google Calendar or Outlook with the customer's name, and anything they block out in their own calendar removes that time from their availability. The sync runs continuously, so a personal entry added at lunchtime stops a booking landing there. Managers choose which staff sync and whether the external calendar shows customer details or just 'booked'.
